Job Summary


•To ensure the smooth running of manager’s daily activities through the effective and efficient management of his/her office and dairy in accordance with his/her requirements

Duties and Responsibilities


Screening all calls to the Office of the GE, and connects or redirect as necessary.
•Planning and organizing the office of the GE, including diary management, scheduling of meetings and calendar events.
•Managing of own time as well as manager’s daily schedule in order to ensure effective operation.
•Effectively managing the office resources to ensure everything is in working order.
•Effective handling of client complaints and enquiries to ensure positive client relations.
•Maintain an effective, professional interface with all stakeholders.
•Building and maintaining an effective network of support services both internally and externally to ensure prompt and efficient service.
•Ordering stationery, and any consumables required by the department.
•Co-ordination of meetings with internal and or external stakeholders.
•Management of all office expenses.
•Pro-actively supporting and advising Provincial and Station administration teams on Radio or SABC projects.
•Engagement of GE on project requirements and project costing.
•Loading of purchase requisitions, service entry sheets and on SAP system for approval.
•Arranging and coordinating of all special events/ functions/ seminars/ conferences/ workshops on behalf of the GE’s office.
•Arranging for travel (including flights, car hire, accommodation etc.) for the GE and management team.
•Send information to the travel office for the booking of flights and accommodation.
•Capturing travel information on the SAP system.
•Ensure travel is efficiently arranged and sending of tickets as well as confirming travel and accommodation bookings with GE and or relevant stakeholders.
•Arrange for shuttle from the office to the airport and back.
•Generate freelance requests forms and send for approvals
Generation of freelance contracts on SAP and obtaining relevant signatures/approvals.
•Accurate preparation of presentations in line with GE’s requirements
•Assisting stations in need with loading of contracts and processing of payment on SAP.
•Accurately taking minutes and ensuring accurate typing of all correspondence and proof reading of official documents in a professional manner
•Convert recorded scripts of meeting into accurate minutes in a professional manner.
•Arranging for travel (including flights, car hire, accommodation etc.) for the GE and management team.
•Providing relevant information to the travel office for the booking of flights and accommodation.
•Timeous and accurate preparation and management of documentation.
•Effective management of the filing system to ensure easy retrieval of information and all records.
•Ensuring that all sensitive documents and or information is appropriately managed and stored.
•Taking minutes in meetings and sending to stakeholders and filing them accordingly.
•Ensuring effective processing of mail in-and-out of the Group Executive’s office and implementing an effective document follow-up and/or tracking system.

Qualifications and Experience


•Grade 12
•Certificate/Diploma Secretarial/Administrative or equivalent qualification
•4 years’ experience in secretarial/administrative functions
•2 years’ experience in a senior manager’s office.
•Good written and verbal communication skills
•Computer literacy (Microsoft programmes, Publisher, SAP, Internet etc.)
•Relevant SABC policies
Understanding of current developments and trends in the social, economic, political, media and broadcast environments.
•General knowledge.
•Proactive and action-orientated.
•Stakeholder management skills.
