Job Summary

•Sappi Saiccor Mill requires an Administrator : Learning to provide a coordination and training administration service to a specific unit as part of the Learning team.

Duties and Responsibilities

•Support Learning Consultants in the team with learning system reports and information to prepare their 90 day training plans.
•Provide them with information on waitlisted employees.
•Proactively arrange venues, facilitators, travel, accommodation, equipment and related items using confirmed training participation reports from the learning system.
•Create classroom schedules on the learning system for the events in the 90 days plans.
•Prepare training schedule reports for printing for non-computer users where required and ensure that the schedules are pinned on the correct notice boards.
•Proxy enrol employees in training that is assigned to them because of their job or place in the business for example mass enrolling employees to complete annual code of ethics or safety training.
•Support the financial process for third party training providers – obtain quotes, arrange payments.
•Ensure that only approved and contracted providers are used.
•Help employees and managers understand what reporting is available on the learning system.
•Draw reports for the Learning Manager or HR team on request.
•On request, obtain updated training content for internal training courses and ensure that it is sent to the Learning Operations Manager for validation and uploading on the learning system.
•Act as first line support for employees who have queries on online training courses.
•Escalate unresolved items to the head office learning team.
•Coordinate the delivery of prizes, promotional materials, communication materials and related items for course or system launches.
•Drive the utilisation of the Sappi learning management system by helping employees and line managers browse for training, create development plans, book and approve for training, use the online collaboration tools and run the system reports.
•Explain the learning policy and process requirements to employees.
•Learning Administrators are expected to be experts on the Learning Policy, Young Talent Policy and Study Assistance Policy.
•Maintain course completions and follow up with facilitators for the uploading of attendance registers.
•Monitor that evaluation questionnaires are completed for third party training.
•Escalate to the learning manager if there are gaps.
•Update employee files with documentation required for regulatory audits (such as legal licenses, SETA registration documentation and formal qualifications).
•Encourage employees to print their own certificates for internal training – only print on request. Arrange the distribution of third party certificates when necessary and make recommendations when certificates should not be issued.
•Coordinate the registration of employees with professional associations, process payments and maintain the required registration information.
•Administer approved study loans by obtaining the registration information and arranging payments to the institutions.
•Follow up with study loan recipients to submit their results. •Escalate to the Learning Consultant for the area if an employee failed and arrange the recovery of the funds or rewrite arrangements as per policy.
•Continuously identify areas for process improvement in the learning department and recommend to the Learning Manager for consideration.

Qualifications and Experience

•National Diploma: Human Resources or Administration
•1 - 3 years administration experience in a learning function
Learning system administration experience
•In compliance with the Department of Employment and Labour's directive of 11 June
2021, Sappi's risk assessment has identified this role as requiring mandatory Covid-19 vaccination as an inherent requirement of the job.
