Cell C is currently recruiting for a Sales Support Administrator to join our dynamic team.
Key Performance Areas
-Operational and Administrative Support
-Maintains diaries for Channel Executive and ensures that all meetings and commitments are properly recorded. This includes preparation and distribution of agendas and programs.
-Types, collates and electronically files documents, correspondences and reports as well as preparation of presentations timeously as per requirements for the retail operations department and sales channels
-Coordinate departmental/office related activities like conferences, traveling arrangements, catering for meetings, petty cash management, team building events and corporate functions.
-Ensure integrity of information collected, stored, shared, and reported. Determine the records identification system for information management storage and retrieval.
-Assist national Executives within retail operations to raise requisitions for department on a weekly/monthly basis and ensure payments to suppliers.
-Create and maintain a vendor list & legal repository & databases with adequate summaries of all KPI’s, contract renewal dates and ensuring contract registers are up to date.
-Create and maintain an up-to-date contacts repository for all channel partners and stakeholders.
-Schedule vendor meetings for all channels within the retail space & assist in special projects. Prepare adhoc letters for vendors, suppliers & employees Operations
-Adequate dissemination of target/deal letters, and (“IAS”) relating to trade partners and the retrieval thereof to ensure predefined commission payouts.
-Processing of purchase orders; collating profit and loss statements for branded stores (“FBOs”).
-Coordinate virtual or F2F rewards and recognition programs where required.
-HR personnel files generated and maintained in terms of PEA’s, HR aspects etc. Assist with asset recoveries in respect of staff leaving the company.
-Communicate to the trade and Retail Operations channels regarding new procedures / processes or any urgent communiqué as advised by the relevant managers
-Distribution of pricelists and deal sheets to relative channels nationally
-Compile daily, month-end, quarterly and year to date reports in line with prescribed deadlines
-Track and distribute channel sales daily
-Offer support function to the executives within Retail Operations and provide required information for reports
-Assist in compiling sales targets nationally for the sales channels
-Processing of expense claims, fuel deductions, system application forms, fuel card applications/replacement, staff line applications; office facilities requirements, vehicles maintenance, lost or damaged equipment applications for all channels and nationally.
-Processing and checking integrity of application forms, documentation and general information/ correspondence including marketing campaign documents i.e., invoices and quotations
-Notify and advise fleet department of all vehicle matters, including but not limited to the impact of licensing, inspections, and registrations, traffic offences, insurance etc.
-Research, retrieve and distribute information, templates, and standard operating procedures.
Customer service and experience
-Ensure timely resolution of sales channel customer issues within (“OLA”) or Service Level Agreements (“SLA”) and customer expectations
-Ensure consistent customer service and experience across all touch points within the Retail Operations Department and stakeholders. Always build a positive image by exceeding client expectations.
-Create and maintain productive relationships with internal and external clients by providing advice and assistance.
-Create understanding of the ‘real’ versus ‘perceived’ need through, experience and expertise while complying with company policies, legislation, and regulations.
-Keep all clients informed about progress through written communication, telephone communications and/or face to face meetings.
-Manage, identify, and minimize Cell C’s exposure to operational risk within the Retail Operations Dept.
-Formal training in MS Office (certificates required)
-Administration / Secretarial certificate advantageous
